Intrastat

Nordlet builds the monthly Intrastat declaration from your invoices and item cards, and sends it in 21 EU countries.

Intrastat is the monthly report of goods that a business moves to or from other EU countries. The national statistics office or customs uses it to count trade between EU countries. It is a statistics report, not a tax return.

It has two directions, called flows:

  • Arrivals: goods that come in from another EU country.
  • Dispatches: goods that go out to another EU country.

A business only reports a flow once its trade in that flow goes over a yearly limit that each country sets. Services are not reported.

The same sale often also appears on the VAT return as an intra-Community supply or acquisition. Intrastat adds the details a VAT return does not have, such as the goods code and the weight.

What Nordlet does

  • Takes the goods lines of your issued sales invoices as dispatches and of your registered purchase invoices as arrivals, when the customer or supplier is in another country.
  • Reads the goods details from the item card: the 8-digit CN code (the EU code for the kind of goods), the country of origin, the net mass in kg and the supplementary unit.
  • Takes the transport mode, the delivery terms, the region and the nature of the transaction from the Intrastat section of the invoice.
  • Puts the Intrastat deadline on the company calendar only for the flows you have to report, as the next section explains.
  • Where Nordlet sends the declaration, the deadline page has a File now button and then shows the status and the reference the administration returned.

When the deadline appears

Nordlet holds the 2026 yearly limits for the countries below and for Romania. For those, Nordlet shows a flow's deadline when your trade in that flow went over the limit last year, or from the month in which this year's running total goes over it. These limits are in euro:

Country Arrivals Dispatches
Austria 5 000 000 1 200 000
Belgium 1 500 000 1 000 000
Croatia 450 000 300 000
Cyprus 380 000 75 000
Estonia not collected 325 000
Latvia 380 000 220 000
Portugal 650 000 600 000
Spain 400 000 400 000

In a country without a recorded limit, every month keeps its deadline.

You can also decide yourself. In the 25 EU countries where Nordlet builds Intrastat, the company's filing options have an Intrastat obligation setting: arrivals and dispatches, arrivals only, dispatches only, or not obliged. That setting overrides the calculation.

How the declaration goes out, by country

From the filing support table:

  • Nordlet builds the file and sends it in 21 countries: Austria, Belgium, Bulgaria, Croatia, Cyprus, Czechia, Denmark, Estonia, Finland, Germany, Hungary, Ireland, Latvia, Lithuania, Malta, the Netherlands, Poland, Portugal, Slovakia, Slovenia and Spain.
  • Nordlet builds the file and you upload it yourself in 4 countries: Greece, Luxembourg, Romania and Sweden.
  • France: Nordlet builds the file for the EMEBI survey and the VAT recapitulative statement, and you upload it.
  • Italy: the Intrastat lists serve as the EU sales list, and Nordlet sends them.

Norway, Iceland and Liechtenstein are not in the EU and have no Intrastat. The German filing guide explains the German declaration and the reporter account it needs.

Frequently asked questions

What do I need to set up before the first declaration?

Fill in the CN code, the country of origin and the net mass on each goods item, and the Intrastat section on invoices with goods that cross a border. Items without a valid CN code are left out of the declaration, with a warning that names them.
