VAT returns

Nordlet works out your VAT return from your invoices and sends it to the tax administration in 24 of the 30 countries it covers.

A VAT return is the report a VAT-registered business sends to its tax office, usually every month or every quarter. It shows the VAT you charged on your sales, the VAT you paid on your purchases, and the difference you owe or get back.

Every country has its own form, its own box numbers and its own way of sending it. The VAT return glossary page explains what goes in each part of the form.

Nordlet is VAT return software for companies that keep their invoices in Nordlet. It fills in the form of the country where your company is registered, from those invoices, so nobody has to copy figures from one system to another.

What Nordlet does

  • Works out the boxes of the national form from your invoices and books. Reports → National VAT return shows each box with its number, its label and its amount, and names the official source of the form.
  • Lists a warning for any line it cannot place in a box. It does not guess.
  • Puts every VAT return deadline on the company calendar, with the period it covers.
  • E-mails the owner, admins and accountants of the company 7 days and 1 day before a deadline.
  • On the deadline page, builds the file and, where the administration takes it, sends it when you press File now. The page then shows the status, the reference the administration returned and a copy of the file that was sent.
  • Can send a filing on its own. Switch automatic filing on per filing in Account → Compliance, and Nordlet files it 5 days before the due date.
  • For some filings, offers File correction, which sends a corrected return built from the current data.

How the return goes out, by country

The filing support table lists every filing Nordlet knows about. For the periodic VAT return of each of the 30 countries it covers:

  • Nordlet builds the file and sends it in 24 countries: Austria, Belgium, Bulgaria, Croatia, Cyprus, Czechia, Denmark, Estonia, Finland, France, Germany, Hungary, Ireland, Lithuania, Luxembourg, the Netherlands, Norway, Poland, Portugal, Romania, Slovakia, Slovenia, Spain and Sweden.
  • Nordlet builds the file and you upload it yourself in 4 countries: Greece, Iceland, Latvia and Liechtenstein. The administration takes the file only through your own account.
  • You key in the figures Nordlet shows in 2 countries: Italy and Malta. In Italy, Nordlet sends the periodic VAT settlement communication (LIPE) and the annual VAT return.

Some countries need a setup step first. An Estonian company, for example, gives Nordlet an access permission in e-MTA, as the e-MTA guide describes. The German filing guide explains what each German administration takes.

The VAT on each invoice

A return is only as right as the invoices behind it. Nordlet picks a VAT scheme for each sales invoice from the customer's country, the customer's VAT number and the kind of supply. The EU VAT guide lists every scheme.

  • A sale to a business in another EU country can be an intra-Community supply of goods without VAT.
  • A service to a business in another EU country falls under the reverse charge: the buyer accounts for the VAT, not you.
  • A sale to a consumer in another EU country can go on the OSS return instead of your national return.

Frequently asked questions

Does Nordlet send my VAT return automatically?

Only if you switch automatic filing on for that filing in Account → Compliance. Nordlet then files it 5 days before the due date. Otherwise it waits until you press File now on the deadline.

What if a figure on the return looks wrong?

Reports → National VAT return shows a warning for each line Nordlet could not place in a box. Fix the cause in the documents behind it before you file. The deadline page builds the file from the current data.
