Nordlet for channel partners

Buy from suppliers, keep stock, sell on to customers and follow up leads, for businesses that resell other companies' products or services.

A channel partner is a business that resells another company's products or services. Resellers, distributors and value-added resellers all work this way: they buy from a supplier and sell on to their own customers.

That means two sides of paperwork. On the buying side there are orders to suppliers, deliveries and supplier bills. On the selling side there are customers, quotes, orders and invoices.

Nordlet has no features made only for channel partners. It has general purchasing, stock, sales and customer features that such a business uses every day. This page describes those.

What Nordlet does

  • Keeps one card per partner, whether customer or supplier, with addresses, bank accounts, files, partner groups and statuses.
  • Tracks sales follow-up on the partner card: first, last and next call dates and a rating.
  • Records leads, which are possible customers who have not bought yet, with their source, type, notes and files. A lead can be converted into a customer partner, and its files and notes move with it.
  • Creates purchase orders to suppliers. A purchase order is the document you send a supplier to say what you want to buy and at what price.
  • Creates sales invoices, credit notes and proforma invoices for your customers. A draft can be e-mailed to the customer as a quote.
  • Keeps price lists, each in its own currency.

Buying from suppliers

  • A purchase order moves from draft to submitted to approved. Approval is a separate step, and Nordlet records who approved the order and when.
  • When goods arrive, you record a goods receipt against the approved order. The goods go into the warehouse you choose, and can be received into a lot with an expiry date.
  • The order shows how much of each line has been received and how much is still to come.
  • When the supplier's invoice arrives, Nordlet compares it with the order and the goods received. Each row is marked as matched, not received, over-invoiced, at a different price, or not on the order. Nothing is changed by this check.

Stock and selling on

  • Nordlet keeps stock per item and per warehouse.
  • An item can have a minimum quantity. Items below it appear on the stock shortage report.
  • A sales order can reserve stock in a warehouse, so the same goods are not promised twice.
  • Fulfilling the order takes the goods out of stock, oldest first (FIFO), posts the cost of goods sold, and creates a draft invoice for you to issue. Cost of goods sold is what the goods you sold cost you to buy.
  • An invoice issued with a warehouse also takes the sold goods out of stock.

Getting paid and reporting

  • Import bank statements and match payments to invoices. The bank imports guide shows the formats.
  • Report on stock balance, stock movement, stock aging and stock shortage, along with the usual ledger reports.
  • Set up operation types so that, for example, sales of goods and sales of services post to different accounts.
