Online invoicing
Create, number, send and track sales invoices in Nordlet, with recurring invoices, templates, payment links and a record of every payment received.
An invoice is the document you send a customer to ask for payment. It names the seller, the buyer, what was sold, the price and the tax. The required fields of an invoice are set by law.
Nordlet lets you write invoices online, give them a number, send them by e-mail and see which ones are paid. Every issued invoice is also recorded in your books, so you do not type it in twice.
This page is for anyone who bills customers: a freelancer, a shop, or a company that sends the same invoice every month.
What Nordlet does
- Drafts first. You create a draft, check the lines and the totals, then press Issue. Until then you can change or delete it.
- Four document types. A sales document can be an invoice, a credit note, a proforma or an advance invoice. A proforma is a price offer, not a request for payment; see proforma vs invoice.
- Numbers at issue. The number is given when you issue the invoice, from a document series.
- Totals from the lines. Nordlet adds up the lines and the VAT. VAT is the tax added to the price of most sales in Europe. You can also give a discount on the whole document.
- Booked at once. Issuing an invoice posts a journal entry, a record of the sale in your accounts.
- Stock at issue. When the invoice has a warehouse, the goods sold are taken out of stock.
- Due date. A missing due date is filled in from the customer's payment term.
- Lock. A locked invoice cannot be edited, issued or deleted until the lock is removed.
- Quotes. A draft can be e-mailed as a quote. It stays a draft.
Numbering with document series
A document series decides how numbers look. You set a prefix, such as AUT, and a number length, such as 5. Numbers are then printed as AUT-00001.
- Each series keeps one running counter. It does not restart in January.
- You can have one default series per document type.
- A series can be tied to an operation type and to a warehouse. The operation types guide explains how they set the accounts.
- A series can carry a label that is printed under the document title.
Sending invoices
- E-mail. Nordlet e-mails the issued invoice as a PDF to the customer.
- PDF. You can download the PDF of a draft or an issued invoice.
- Pay now link. If you set a payment link, the e-mail and the PDF carry it. It shows the amount still unpaid.
- Peppol. Peppol is a European network for sending e-invoices between businesses. With your own access point, Nordlet sends invoices over it. See the Peppol guide.
- National e-invoicing. For Italy, Poland and Romania, Nordlet builds the national e-invoice file and can send it to the tax authority's channel.
Recurring invoices and templates
A template holds the customer, the header details and the lines of an invoice you send often.
- A recurring schedule turns a template into invoices weekly, monthly, quarterly or once a year.
- It can issue each new invoice and e-mail it to the customer by itself.
- You can pause a schedule. Deleting it keeps the invoices it already made.
Payments received
Money owed to you by customers is called accounts receivable.
- Nordlet lists the money received on invoices for any dates: bank payments matched to an invoice, card settlements from a payment provider, and cash receipts.
- A fully paid advance invoice can be applied to a later invoice of the same customer.
- Automatic debt reminders e-mail customers a list of their overdue invoices, at most once every seven days. This is called dunning.
- One file per month for your accountant holds every invoice, credit note and payment of that month, as CSV or PDF.
Frequently asked questions
Do invoice numbers restart every year?
No. Each document series keeps one running counter, so numbering continues from the last number when a new year starts.
Can I change an invoice after I issue it?
No. An issued invoice is part of your books. To correct it, you issue a credit note against it. See credit notes.
Can customers pay by card?
Yes, if you connect your own Stripe account. The payment link then opens a Stripe card payment page. See accepting payments.
