Point of sale with accounting

Record cash register shifts, receipts and daily Z-reports in Nordlet, with the takings, VAT and stock posted to the ledger.

A point of sale (POS) is the place where a shop, café or kiosk takes payment, usually a cash register. At the end of each day or shift the register prints a Z-report: the day's total sales, split by cash and card and by VAT rate.

Those totals have to reach your books. The cash goes to the cash account, the card takings to the card account, the sales to revenue and the VAT to the VAT account. If you sell goods, the stock sold must also be written off.

Nordlet's POS module records these sales through the API and posts them to the ledger in one step. It is for shops and hospitality businesses, and for developers who build or connect a till.

What Nordlet does

  • Registers your cash registers. Each device has a name and a serial number, and can carry a model, a registration number and an address. An inactive device accepts no new shifts or reports.
  • Opens a shift. A shift starts with the cash float in the drawer. A device has at most one open shift.
  • Records receipts. Each receipt in a shift is numbered from 1. Each line has a quantity and a price including VAT, and Nordlet works out the net amount and the VAT. Cash plus card must equal the receipt total.
  • Closes the shift. Closing sums the receipts by VAT rate and by product into one POS report, a Z-report. It shows the expected cash in the drawer and the difference from the cash you counted.
  • Posts to the ledger. Each POS report is one journal entry: cash and card takings on their accounts, net sales to revenue, and VAT to the VAT account.
  • Writes off stock. Items sold are taken out of the chosen warehouse using FIFO (first in, first out). The cost of goods sold is posted in the same entry. A set is broken down into its component products.
  • Accepts Z-reports directly. If your register already produces Z-reports, you can send the daily totals as a POS report without recording each receipt.

Checks that keep the books right

  • A report is refused when cash plus card does not equal the total.
  • A report number can be used only once.
  • Nothing can be posted into a closed accounting period.
  • A shift with no receipts cannot be closed.

Reports and VAT

  • POS sales report. In the web app, Reports → POS sales lists the POS reports of a period with net, VAT, gross, cash, card and cost of goods sold, and the totals per VAT rate.
  • Events for your systems. Each new report sends a pos_report.created webhook, and each stock write-off sends stock.changed.
  • Lithuanian VAT return. For a Lithuanian company, POS report VAT lines are included in the FR0600 VAT return figures.
